Video meetings or webinars with video streaming, everyone knows it nowadays. Due to the Covid-19 crisis, these technologies have gained momentum and are almost impossible to imagine without. The benefits of this new form of communication are enormous and organizations are now more than ever implementing them as an essential part of their meeting programs or events.

Video meetings or webinars with video streaming, everyone knows it nowadays. Due to the Covid-19 crisis, these technologies have gained momentum and are almost impossible to imagine without. The benefits of this new form of communication are enormous and organizations are now more than ever implementing them as an essential part of their meeting programs or events.

You would think nothing but benefits? There are also several drawbacks:

Participants miss the real event experience;

There is no human contact;

There is little to no interaction.

To provide an answer, Auvicom is fully committed to the concept of Hybrid meetings and events. With this we try to approach the event experience as much as possible without violating the Covid safety rules

What is a hybrid meeting?

The principle is simple. A hybrid meeting refers to the physical location of the participants. In such a meeting, a more limited group of people attending the meeting is in one and the same basic room. Other participants join the meeting via a video platform. A sophisticated hardware setup in the basic space ensures that the participants from outside can really “feel and perceive” the basic space as if they are physically present.

An example: You invite as many covid-proof people as possible to a basic room and you let the other group participate interactively via a video platform. We can propose our own streaming or conferencing platform (Lifesize, Vimeo, Youtube) but of course we can also perfectly use the platform of the customer (Zoom, Teams, Webex, Starleaf,…).

The basic space is fully equipped with automatic or manned cameras (the latter for larger events). These bring the speakers in perfect picture on the one hand, and with state-of-the-art microphones you also have passive audio capture on the other.

In addition, we provide a reverse experience by giving the external participants the opportunity to communicate as much as possible with the basic meeting room. We do this by providing screens, cameras, microphones and speakers around the central screen and also divided into the basic space in order to enhance the “virtual gathering”. In this way it seems as if every participant, wherever they are, is “present” in the base space.

Interaction with the external participants can be done via live video for smaller meetings or via SMS, chat box or special event apps where Auvicom also guides you. Here we usually work with a moderator.

Videovergaderingen of webinars met video streaming, iedereen kent het tegenwoordig wel. Door de Covid-19 crisis zijn deze technologieën in een stroomversnelling geraakt en bijna niet meer weg te denken. De voordelen van deze nieuwe communicatievorm zijn enorm en organisaties implementeren ze nu meer dan ooit als essentieel onderdeel van hun vergaderprogramma’s of events.

Niets dan voordelen zou u denken? Er zijn ook verschillende nadelen:

Deelnemers missen de echte eventbeleving;

Het menselijk contact ontbreekt;

Er is weinig tot geen interactie.

Om een antwoord te bieden zet Auvicom volop in op het concept van Hybride vergaderingen en events. Hiermee trachten we de eventbeleving zoveel mogelijk te benaderen zonder de Covid veiligheidsregels te overtreden.µ

Wat is een hybride vergadering?

Het principe is eenvoudig. Een hybride vergadering verwijst naar de fysieke locatie van de deelnemers. Bij zo’n vergadering bevindt een beperktere groep mensen, die de meeting bijwonen, zich in één en dezelfde basisruimte. Andere deelnemers nemen deel aan de vergadering via een videoplatform. Een uitgekiende hardware setup in de basisruimte zorgt ervoor dat de deelnemers van buitenaf de basisruimte echt kunnen “voelen en waarnemen” alsof ze er fysisch aanwezig zijn.

Een voorbeeld: Je nodigt zoveel mogelijk covid-proof personen uit in een basisruimte en je laat de andere groep interactief deelnemen via een videoplatform. Wij kunnen een eigen streaming -of conferencingplatform voorstellen (Lifesize, Vimeo, Youtube) maar uiteraard kunnen we ook perfect het platform van de klant gebruiken (Zoom, Teams,Webex, Starleaf, …).

De basisruimte wordt volledig ingericht met automatische of bemande camera’s (dit laatste voor grotere events). Deze brengen de sprekers perfect in beeld enerzijds, en met state-of-the-art microfoons heb je ook een al dan niet passieve audiocaptatie anderzijds.

Daarenboven zorgen we voor een omgekeerde beleving door de externe deelnemers de kans te geven zoveel mogelijk te communiceren met de basisvergaderruimte. Dit doen we door rondom het centrale scherm en ook verdeeld in de basisruimte, beeldschermen, camera’s, micofoons en speakers te voorzien om zo het “virtuele samenzijn” te versterken. Zo lijkt het alsof elke deelnemer, waar die zich ook bevindt, “aanwezig” is in de basisruimte.

Interactie met de externe deelnemers kan via live video voor kleinere vergaderingen of via sms, chatbox of speciale event-apps waar Auvicom U ook in begeleidt. Hier wordt wel meestal gewerkt met een moderator.

fast & flexible with expertise

For years we have been calling on the Auvicom team for smaller and large events that we organize as Voka Halle-Vilvoorde. Because our events often do not have a pre-measured technical concept or are devised last-minute, flexibility just before and during without losing quality is extremely important and that is precisely what makes Auvicom strong.
